Job description

At Acorn by Synergie, we're committed to providing safe, professional, and welcoming workplaces for our colleagues and visitors. We're looking for an organised and proactive part-time Facilities Co-ordinator to join our team at our Head Office in Newport.

Working as part of our Compliance team, you'll coordinate facilities management activities across our branch network and Head Office, helping to maintain safe, compliant, and professional working environments. You'll be the central point of contact for a wide range of facilities-related matters, working closely with colleagues, suppliers, contractors, and landlords to keep our offices running smoothly.

Key Responsibilities

  • Manage Head Office reception and provide a professional first impression for visitors.
  • Co-ordinate facilities maintenance and repairs across multiple office locations.
  • Liaise with contractors, suppliers, landlords, and service providers.
  • Manage facilities-related enquiries and requests.
  • Arrange planned maintenance and monitor completion of works.
  • Support office moves, workplace improvements, and office set-up activities.
  • Maintain facilities records, documentation, and supplier information.
  • Assist with health and safety compliance requirements.
  • Monitor facilities expenditure and process supplier invoices where required.
  • Build effective relationships with colleagues across the business.

What We're Looking For

  • Previous experience in facilities, office management, or a similar role.
  • Good understanding of health & safety laws and regulations.
  • Excellent organisational and administrative skills.
  • Strong communication and relationship-building abilities.
  • Ability to manage multiple priorities and work independently.
  • A proactive, practical, and solutions-focused approach.
  • Good IT skills, including Microsoft Office applications.
  • Good attention to detail and a commitment to delivering excellent service.
  • Someone willing and able to work 24 hours per week across 3 or 4 days.
