Introduction
Acorn by Synergie is recruiting for an experienced and organised Operations Support Officer to join a busy operational team. This is a busy role that provides essential administrative and customer service support to a large workforce, ensuring the smooth day-to-day running of operations.
This position would suit someone who thrives under pressure, has excellent attention to detail, and enjoys supporting colleagues while delivering a high standard of customer service.
Key Duties
- Review and process Driver Daily Returns, ensuring all documentation is accurate, complete, and uploaded to internal systems.
- Check and process overtime documentation, ensuring records are correctly prepared for supervisor approval and payroll processing.
- Review Daily Defect Sheets, correcting errors, recording information accurately, and maintaining system records.
- Manage PPE stock levels, placing orders and ensuring adequate supplies are available.
- Maintain and update the Tacho Master Calendar.
- Print, distribute, and maintain driver-related documentation, including accident forms, annual leave forms, overtime notices, and vehicle records.
- Investigate and gather information relating to missing movements, out-of-hours tickets, and ticket amendments.
- Support the daily driver sign-in process, issuing tablets, mobile phones, keys, maps, and other operational equipment.
- Maintain accurate records of equipment allocation and returns.
- Take ownership of key management, including issuing, tracking, logging, and ensuring keys are returned.
- Manage Housing Paid Calls administration, including uploading documentation, creating call lists, and liaising with crews regarding overtime requirements.
- Handle incoming telephone calls professionally, relaying information to supervisors and supporting operational communication.
- Support approximately 287 operational staff each morning with sign-in procedures.
- Print and prepare daily manning sheets for drivers and loaders.
- Record sickness absence and support supervisors with staffing and route changes.
- Process large volumes of manual paperwork and ensure all documentation is complete and compliant.
- Separate and process overtime records accurately.
- Monitor driver hours against tachograph records.
- Maintain accurate records relating to holidays, sickness, staffing, and operational resources.
- Support onboarding activities for new starters and assist with office stationery and PPE requirements.
Requirements
- Strong administrative and customer service experience.
- Exceptional attention to detail and accuracy.
- Confidence working with manual records and data entry systems.
- Ability to remain calm and professional in a busy operational environment.
- Excellent communication and organisational skills.
- Patient, approachable, and able to de-escalate challenging situations when required.
- Ability to prioritise workloads effectively and work independently.
- Comfortable supporting a large workforce and managing multiple tasks simultaneously.
